Many organizations – whether they have SAP systems or something else – have built up a set of legacy systems over the years. Now they’ve got an almost daily or hourly ticking clock of the costs of this environment in the cloud – and the cloud migration is costing customers two or three times what they expected.

First, it’s going to be crucial that organizations understand that they need to involve the business. Typically, the migration is left in the hands of the IT team. But it includes multiple areas of the business – not just finance or sales and procurement. Companies may need some level of engagement with people in each of those departments who work with these systems.
Second, project leaders need to make sure people understand the real drivers – that is, why they need to keep the data. Why are departments keeping these legacy systems? Why aren’t they just turning them off and throwing them away? It’s because they need access to the data. Which customers have purchased what products when, and what maintenance has been done? Have the customers paid their bills? There are a million reasons why they might need access to older records.
Third, an audit is vitally important. An auditor might show up and demand to see previous years’ data. And if you can’t show them that data, then you are going to be in trouble very quickly. So, you need to know exactly what data you must keep and for how long.

The archived data will be compressed, significantly reducing the overall data footprint. And when companies archive their data, they should keep archiving.
